Terms & Conditions

Rules and obligations governing the use of the EDB Trucking Services Trucking Management System by all authorized personnel.

Last Updated: June 1, 2025  ·  Version 1.0

These Terms and Conditions govern the use of the ITCPRS Trucking Management System by all registered users including drivers, helpers, staff, and administrators. By accessing and using this system, you confirm that you have read, understood, and agreed to comply with all provisions outlined below. Failure to comply may result in suspension or termination of access privileges.

Location Services Requirement

GPS and mobile location obligations for drivers and helpers

1
Mandatory Location Activation Required

All drivers and helpers are required to ensure that the location feature (GPS) on their assigned or personal mobile device is turned on and active upon departure from any depot, facility, or home base before beginning any service route.

2
Continuous Location During Service Required

Location services must remain active and uninterrupted for the entire duration of any presence within the designated service route. Drivers and helpers must not disable, restrict, or interfere with GPS tracking while a trip is in progress.

Accidental GPS disruptions (e.g., low battery, signal loss) must be reported to the assigned dispatcher or staff as soon as connectivity is restored.
3
Device Responsibility

It is the responsibility of each driver and helper to maintain their device in a working condition, with sufficient battery level and mobile data or internet connectivity, to sustain uninterrupted GPS reporting throughout the assigned shift.

Parts Request Requirement

Procedures for requesting and approving truck parts and components

1
Use of the Internal Parts Request Feature Required

All drivers and helpers must exclusively use the system's internal Parts Request feature when requesting any truck part, component, tool, or supply. Requests made outside this system — including verbal requests, text messages, or third-party channels — are not recognized and will not be honored.

2
Prior Approval Requirement Required

No parts may be acquired, purchased, or installed on any company vehicle without a prior written approval issued by a designated Staff member or Secretary through the system. This applies to all parts regardless of cost or urgency.

In genuine emergencies (e.g., roadside breakdown), the driver must contact the dispatcher immediately and await verbal authorization before taking any action. A formal system request must still be filed as soon as possible after the emergency is resolved.
3
Unauthorized Requests Important

Acquisition or installation of parts without system approval constitutes an unauthorized request. Any costs incurred from unauthorized procurement are the sole financial responsibility of the individual who made the unauthorized request.

Unauthorized parts requests may lead to suspension of service privileges and may be subject to further disciplinary action as determined by management.

General Conduct & System Use

Expected behavior standards for all system users

1
Authorized Use Only

Access to the ITCPRS system is granted solely for legitimate work-related activities within the scope of each user's assigned role. Unauthorized access, sharing of login credentials, or impersonation of another user is strictly prohibited.

2
Data Accuracy

All users are responsible for ensuring that any data, reports, or records they submit through the system are accurate, complete, and truthful. Falsification of records is a disciplinary offense.

3
Confidentiality

All operational data, route information, client details, and internal records accessible through this system are strictly confidential. Users must not disclose or share this information with unauthorized parties.

Violations & Penalties

Consequences for non-compliance with these terms

1
Graduated Disciplinary Process

Penalties for violations are applied progressively based on severity and frequency:

  • First offense: Verbal or written warning issued by management.
  • Second offense: Formal written notice with mandatory remediation.
  • Third offense: Suspension of system access privileges.
  • Severe violations: Immediate suspension or termination, subject to management discretion.
2
Reporting Violations

Any user who observes a violation of these terms is encouraged to report it to the assigned Secretary or Administrator through the system. All reports are treated with confidentiality.

Amendments & Updates

How changes to these terms are communicated

1
Right to Amend

ITCPRS management reserves the right to amend, update, or expand these Terms and Conditions at any time. Changes take effect upon publication within the system and will be reflected in the "Last Updated" date shown at the top of this page.

2
Continued Use as Acceptance

Continued use of the ITCPRS system following any published amendment constitutes your acceptance of the revised terms. Users are responsible for reviewing these terms periodically.
